Sampradaya Dance is committed to protecting the privacy of the personal information of its board of directors, donors, sponsors, patrons, artists, committee members, staff, supporters, volunteers, and any other stakeholders of Sampradaya Dance.

What is personal information?
Personal information is any information that can be used to distinguish, identify or contact a specific individual. This information can include an individual’s opinions or beliefs, as well as facts about, or related to, the individual.

Exceptions: business contact information and certain publicly available information, such as that published on the individual’s own website, social media platforms, in directories, etc. are not considered personal information.

What personal information is collected?
Sales Transactions and Donations: Sampradaya Dance may collect personal information such as email addresses, postal address, phone numbers, etc. from donors, or sponsors, or ticket buyers, workshop participants, etc.

Governance: Personal contact information of Sampradaya Dance board members, staff and committee members will be collected and maintained in a database by authorized Sampradaya Dance staff person/s

Why is it collected, and what is it used for?
Sales transactions and donations: Information is collected by authorized Sampradaya Dance staff to complete registrations for events, participation in workshops, for donations and sponsorships. It is also collected to issue tax receipts, invoices, or other receipts related to a purchase, donation, or sponsorship.

Governance: As a registered Canadian charity, Sampradaya Dance is required to submit personal information for Board members for the annual charity information return to Canada Revenue Agency. Staff and artists’ information is obtained in order to process payroll, or performance fees, and for any T4, T4A, T4NA  filing. Any personal information is not re-distributed without approval from the individual.

How is information collected?
Sales transactions or donations: This information may be collected through various forms available on the Sampradaya Dance website or via email and may be sent in electronically, by mail, through credit card authorizations, or Interac, etc. This information might also be taken over the phone if requested.

Governance: Board members, staff and committee members’ contact information is collected by mail, phone or email.
Website: If an individual makes a donation through the Sampradaya Dance website or through the Canada Helps website, or registers for an event online, the information will be collected through secure on-line forms and no credit card information will be available to either Sampradaya Dance or the third-party supplier as it is encrypted and goes directly to the credit/debit card company.

How is personal information stored and who has access to it?
All information for donors, customers, sponsors, board of directors, committee members and personnel is maintained by designated, authorized Sampradaya Dance staff. This includes, if provided, personal contact information. The database does not include any financial information or details such as credit card numbers. Original order forms (which may include credit card numbers as provided by an individual/organization), and photocopies of cheques are kept in filing cabinets/archival storage in the office which is locked every night.

What security measures are used?
The information is accessed by designated, authorized Sampradaya Dance staff  only, and electronic information is password protected. Shared Files remain on a secured network accessible by Sampradaya Dance staff only.

To whom is it disclosed?

• Sampradaya Dance does not disclose personal information to any third parties except to the relevant financial and credit card institutions during the payment processing of transactions.

• Sampradaya Dance discloses the date of birth of board members to the Canada Revenue Agency on the annual charitable returns.

• Sampradaya Dance does not sell, trade or rent personal information to other organizations or individuals.

Third party websites
The website may contain links to other websites. Sampradaya Dance is not responsible for the privacy policies or practices of third-party websites.

Updating information
From time to time, Sampradaya Dance may review its privacy policy practices and update the policy. Let us know if the personal information which we hold about you needs to be corrected or updated.
